How to Plan Diwali Packaging Orders and Approval Milestones

To plan a Diwali packaging order, work backwards from the date the finished packaging must reach you. Define the contents and packed dimensions first, then confirm the structure, insert, quantity, artwork, quotation, production requirements and delivery arrangement in writing. This sequence reduces avoidable changes after approval.

1. Set the receipt date and responsibilities

Begin with the date by which you must receive the empty or finished packaging, not only the gifting date. Record the delivery city and PIN code. Decide who will source the gifts, fill the boxes, add cards or branding elements and arrange final dispatch to recipients.

Production and delivery are separate stages. Build time for quotation review, artwork approval, any agreed sample or fit check, production, transport, filling and distribution. Do not assume a festive cut-off date; ask Boxly to confirm current availability and timing for the selected option.

2. Define every gifting version

List the recipient groups and the quantity required for each version. Employees, clients and partners may receive different assortments, artwork or cards. A combined order quantity does not show how many packaging variants must be quoted and approved.

For each version, list everything that goes inside. Measure every item as it will be packed, including its wrapper, jar lid, cap or separate container. Record length, width and height. Explain whether products must stand upright, lie flat or remain separated.

Product photographs help explain the assortment but do not prove fit. Ask for confirmed internal dimensions and the usable dimensions of any insert or partition.

3. Shortlist the structure around fit and presentation

Compare packaging by what the assortment requires: a sleeve-and-drawer reveal, a compartment layout, a windowed presentation or another confirmed structure. Consider the opening sequence, branding space and how the contents should appear when the box opens.

4. Prepare artwork before the approval window

Collect the approved logo, greetings, contact details, brand colours and artwork files. Decide where each element should appear. Ask which customisation is feasible for the structure and order requirements.

Nominate one final approver. Check spelling, artwork version, logo proportions and placement before signing off. Keep the approved artwork with the box specification and quotation. A late artwork change may require feasibility, cost or timing to be reconfirmed.

5. Request a complete quotation

Ask the quotation to identify:

  • the exact box reference and usable dimensions;
  • insert or partition and included packaging components;
  • quantity for each version;
  • approved customisation and artwork;
  • MOQ, availability and production requirements;
  • taxes, transport, delivery terms and payment milestones;
  • production timing and separate delivery arrangement.

6. Use an approval tracker

Keep a simple status list with an owner and date for each milestone:
